Sometimes, cheaper is better. That's definitely the case with Smith Micro Software's HotFax 5.0, which, at $59.95, is the cheapest faxing app we tested. But don't confuse the low price with bargain-basement performance: HotFax delivers many of the key features found in pricier fax programs and services such as TotalFax, a program that costs $20 more. Sometimes, cheaper is better. That's definitely the case with Smith Micro Software's HotFax 5.0, which, at $59.95, is the cheapest faxing app we tested. But don't confuse the low price with bargain-basement performance: HotFax delivers many of the key features found in pricier fax programs and services such as TotalFax, a program that costs $20 more.

So what makes HotFax a winner? Simplicity. The program's main interface, a graphical representation of a standard business phone (complete with a handset and a number pad), is both visually appealing and immediately familiar. Large buttons labeled Send Fax and Receive Fax are self-explanatory--no cryptic icons here--and your phone book is just a click away. The handy cover-page designer and other features are readily available via a compact drop-down menu. We immediately liked HotFax's look and feel, and you will, too.

Fast setup; good tools
HotFax's installation routine is painless and straightforward; simply click Next during the usual series of setup screens. In CNET's tests, HotFax installed faster than other fax programs, primarily because it waited until we launched the program (that is, after setup) before running its fax-modem diagnostics (searching for and configuring the modem).

HotFax boasts straightforward send and receive tools. To send a document from Microsoft Word, for instance, you select Print from Word's own File menu and change the print driver to HotFax. Most fax programs, including WinFax Pro and TotalFax, send faxes this way, although we prefer eFax Messenger's more intuitive solution of inserting a Send Fax command into the menu bar of various applications.

HotFax's cover-page designer is a breeze to use, with dozens of templates for every conceivable personal and business topic, from new baby announcements to what the app calls "nasty" payment-due reminders. Of course, you can use HotFax's bountiful collection of drawing and text tools to create your own cover pages as well as insert company logos and other graphics. Although fax-software rookies might prefer WinFax Pro's hand-holding cover-page design wizard, which steps you through the page-building process, seasoned faxers will love the freedom and creativity of HotFax's designer.

Good integration
HotFax integrates nicely with TextBridge OCR, a standalone optical character recognition program that ships on the HotFax CD-ROM. (You have to install TextBridge separately.) To convert a fax to text, for instance, simply click OCR Document from a HotFax drop-down menu. TextBridge then launches immediately and performs the OCR quickly and, in CNET's tests, accurately. Only WinFax Pro also offers OCR, though its OCR module didn't require a separate installation.

HotFax's shortcomings? Unlike WinFax Pro, HotFax doesn't include a photo-quality mode for sending faxes, a weakness that showed up during CNET tests. Specifically, JPEG images sent via HotFax looked much too dark. Another issue: you can't import contact data directly from Microsoft Outlook; you must first convert it to a format supported by HotFax or configure HotFax to use Outlook as its address book. (HotFax should import directly from Outlook, which is one of the world's most popular contact managers.) By comparison, WinFax and eFax Plus imported our Outlook data directly, but TotalFax did not.

On the plus side, HotFax's tech support is top-notch. Support staff answered our e-mail queries accurately within a few hours (once within 15 minutes!), and hold times averaged only a few minutes whenever we called Smith Micro's free phone support.

On all fronts, HotFax 5.0 is a solid, inexpensive solution for your small-business and home faxing needs.

HotFax 5.0's interface looks immediately familiar: it's set up just like a telephone. Large buttons at the bottom also make it easy to find popular features.

don't waste your money on it

use just to receive faxes

Review: it is hard to use all the features, i kept having problems with voice messages, it is ok if you just want to be able to recieva faxes, it is nice to keep your faxes in your computer and print them out sveral times if you need to. Definitely not good for Win XP

Better than the higher priced brand

Review: Fast to setup and get going. Straightforward and easy to use. Seems very stable and gets along with other programs well. There is room for improvment, I suppose, but its better than the higher priced program I tried.

Cannot make her working in windows XP

Review: Tried to install in my new windows XP but as soon as you go to setup anyhting it shuts itself off. Uninstallinbg gives atleast 7 prompts that file ...etc.. cannot be deleted ! SO please rethink or atleaset make sure you have full money refund promise in writing.

This is not made for XP

Review: I reformatted my drive , put new XP and installed XP., it gives errors.Their tech. support could not solve it, nor giving me my moneyback. So beware it was working perfect for Windows ME, but its no way working for XP

NOT for XP

Review: I had windows ME, this hotfax worked perfect. But not with windows XP. You cannot go to preferences or most setups in it. As soon as you try to reach setups it simply shuts itself down.

Works Fine for a Simple Fax Program

Review: I justed wanted an alternative to Winfax which I have always found to be unstable. This works just fine for sending faxes. I have not tried as my receiving fax.

Not for XP Systems

Review: This program worked fine in windows 98, but failed in Windows XP. I guess I am getting a Fax Machine! Tech support said it was all my fault and I did not know how to load the program! What a lot of help!

To many headaches

Review: I was receiving to many errors. My modem was good and I check every other reason why it would not work. I installed it on three different computer. I had nothing but problems. Customer Service on their end is very slow and they give me answers that have nothing to do with what I asked them.

Many problems with voice detection

Review: This product appears to be the 'complete' package for home/office users. The problem is the software fails to detect the voice features in some USR, Zoom, & Creative modems. If you're looking for a package that primarily handles voice messaging first and fax capabilities second- this is not the best choice out there.

Review: There's not much out there that integrates phone and fax capability and runs on Windows XP, so we were glad to download and try HotFax. In spite of volume issues (some callers were nearly inaudible, others were fine... we could never work out why) we purchased it. At one point, it "disappeared" from the desktop; it was running in the tray, but no amount of rebooting or switching to it would bring it back until I changed some of the preferences (basically at random). It was impossible for my not-so-computer-savvy mother to keep jimmying with it to keep it running.

resource hog: may stop working

Review: Based on the reviews I read here, I decided to give HotFax a try. I used the trial version for two weeks and purchased it a few weeks ago. It was largely trouble-free and easy to use, though I haven't needed to use it too often. Earlier this week, I needed to fax a 1-page Word document, and the file kept hanging on conversion. I called their technical support (not a toll-free call) and was told that this is a frequent problem. The tech support guy said that the software is a "resource hog," and had me check my system performance by right-clicking the My Computer icon and looking at the Performance tab. I had a few applications running, and was at 65% free. When he heard that, he said that 65% was "much too low" for HotFax: he said that it needs at least 80% free. Apparently their tech support gets quite a few calls from people who say that the software was doing fine and then just stopped working because the system usage was up. Quitting all the applications brought me to 79%, which was still not enough. I ended up having to disable all my startup software and reboot, which brought me to 81%, but still did not resolve the problem. It took another call to tech support and two remove-and-reinstalls before I was able to send my little fax. It seems to me that requiring 80% of the system to be free is excessive, and given how much of a song and dance it was to send my last fax, I don't think this is going to work as even a short-term thing. I would not recommend HotFax.

Review: I've been using winfax for years and it's pretty good but HotFax seems to be easier and quicker to use and it's a lot easier to set up and get going. It doesn't skimp on features either and it costs less to boot !
